Case study

Context

Over time, customer websites, domains and email services became distributed across multiple hosting providers and systems.

Some customers had long infrastructure histories with several provider changes, and website, domain and email components were often split across separate environments.

The data existed, but it was fragmented across hosting providers, CRM records, project-management tools and internal systems.

Problem

Operational teams repeatedly had to reconstruct a technical customer profile before they could act on support, migration or delivery tasks.

The core problem was not missing data, but the absence of a shared model connecting customer, website, domain, hosting, contract and application-level technical state.

Approach

I designed and developed a central platform that aggregates technical and commercial data from internal and external systems.

Instead of becoming the authoritative owner of all information, the platform acts as a synchronization and correlation layer that continuously imports and links datasets around customers, projects, domains and websites.

Teams can start from a customer, domain or website and immediately navigate to related technical and organizational context.

Key Decisions

  • Keep source systems authoritative

    Hosting data stays with hosting providers, customer data remains in CRM and contract data remains in project systems. The platform synchronizes and correlates instead of introducing another manually maintained source.

  • Build relationships, not another inventory

    The value is in linking domains to websites, websites to customers and projects, and projects to contract and technical state, so teams can answer operational questions in one place.

  • Derive operational signals from technical context

    WordPress version and plugin data is transformed into actionable context, for example identifying shop systems, mail integrations, vulnerability exposure and maintenance responsibility.

Security and vulnerability integration

The platform integrates vulnerability data with current plugin inventories from managed websites.

When new vulnerabilities are published, affected customer sites can be identified and prioritized using linked project and maintenance-contract context instead of isolated technical findings.

DNS history

The platform periodically records relevant DNS records including A, www and MX values and preserves historical entries instead of overwriting them.

This gives migration and support teams lightweight operational history they can use to recover previous configurations when DNS records are changed or deleted.

AI integration

The platform exposes structured endpoints to the internal AI environment so teams can start from natural-language support questions.

AI-assisted workflows can gather contacts, contracts, domains, websites, hosting provider, website technology, WordPress and plugin state, maintenance status and related infrastructure context in one pass.

This positions the platform as a structured knowledge layer between internal systems and AI-assisted operations.
